AIS Returned Materials Policy

GENERAL PROVISIONS

Each returned part must have a Return Material Authorization (RMA) number assigned to it by an AIS Customer Service Representative before the return will be processed by Avionics International Supply, Inc. (AIS). Returned parts must have been originally purchased from AIS and must be in their original packaging and properly packaged to prevent shipping and handling damage.

AIS will return to the customer either new, repaired or re-manufactured items or components that are warranted in accordance with the original Manufacturer’s warranty. Products sold by AIS are warranted under the original manufacturer, not AIS. Defective products returned will only be issued credit upon the original manufacturer authorization and all credits, if any, will be account credits against future purchases from AIS.

RMA NUMBERS & PROCESS

AIS, at its option, may return, unprocessed, and at the sender’s expense, any item received without a valid RMA number. All merchandise being returned for credit or refund under the RMA policy should be returned within 30 days from date of purchase.  All merchandise is required to be received by us in re-saleable condition-packed in original manufacturer's box, complete with instructions and all components or documents (if applicable).

To obtain the required RMA numbers, the Customer may contact an AIS Customer Service Representative and provide the AIS Customer Service Representative with the following information:

2.      or AIS Customer Account Number or Customer Name
3.      Contact Person call-back telephone number and email address
4.      Serial number and/or part number for each item to be returned
5.      Reason item is being returned

[Note: The AIS Customer Service Representative may need additional information depending on the nature of the problem.]

AIS Customer Service will verify the warranty status of each item before assigning an RMA number. Serial Numbers and purchase date will be verified against all available AIS and manufacturer records.   Non-warranty items will require a Customer Purchase Order number to be issued to AIS before repairs will be started on the RMA.

If a product is returned to AIS it may be subject to a re-stocking fee at AIS’s discretion.   The AIS standard restocking fees is 25%.   No RMA shipment will be accepted if it is shipped "COD", "Freight Collect", or "Third Party Billing" as it cannot be accepted by our receiving warehouse. Certain items may not be eligible for return (e.g. books, dvd's, videos, clothing, special or custom order items, non-stocked items, etc).

An RMA number will be assigned to each shipment or each item to be returned.

SHIPPING INFORMATION

Shipment must contain a packing list with the RMA number, Part Numbers and Serial Numbers for each item. RMA numbers must be clearly marked on the outside of the shipping containers.

Use original packaging for returns. Poor packaging may result in physical damage to the returned part(s). If the shipment is damaged, AIS will document the damage, notify the sender. All costs associated with repair of the damage from shipment will be borne by the sender. In some cases, damage to the shipment may result in the cancellation of the items within that shipment.

The Customer will pre-pay freight to AIS, and AIS will pre-pay return freight to the Customer. AIS will use the most economical method of shipment. Any special Customer shipping requests will be billed to the Customer.

NO DEFECT FOUND CHARGE

The customer will be charged $125 for each item which is returned for RMA if the item is found to be in sound working condition and found to be free of defects by the original manufacturer. The customer will be notified and a purchase order will be required for the full amount of the charges before the equipment will be returned.

ADVANCED REPLACEMENT PARTS REQUEST

In the event a requirement for an Advanced Replacement Part exists, a Customer Purchase Order must be sent to the AIS Customer Service representative. Expedite Fee’s for advance replacements will be the responsibility of the customer. The customer will be billed for the full price for any part if like or same item is not returned within 30 days under the RMA process.

AIS will use its reasonable best efforts to process the Emergency Purchase Order during the same day the order is received. The Customer will pay all shipping costs.

PAYMENT

If Customer fails to fulfill the terms of payment associated with the order AIS may defer further shipments to Customer or, at it’s option, cancel the unshipped portion of any or all Customer orders. A service charge of up to 1.5% per month (up to 18% per annum) may be added to all unpaid invoices more than 30 days past due.

AIS Additional Policies

OUR PRICING POLICY

We take great pride in offering our customers the lowest available prices in the industry. Many items will reflect discounts for various quantity purchases. Our pricing is updated daily and should reflect current pricing. Should there be any kind of price discrepancy we will notify you immediately. We will continue to do our best to minimize increases and offer all of our products at the best possible prices. All prices are subject to change without notice.

PRICING UPDATES
Although we update pricing on a daily basis, occasionally there may be a price discrepancy between the price online in the Avionics International Supply website and the actual current price. If there is a price discrepancy, that we identify at the time we process the order, we will notify you by phone, fax or email so that you are aware of any changes. You may come across a product that has a $0.00 price or Call for Quote shown in the cost location. There is a variety of reasons for this. The part number may have changed and thus the price may not have been updated, the product may no longer be available or it could be a minor computer glitch. Please do not assume that we are giving the product away.  Normally if we are offering a product at "No Charge" the price will read "FREE" not $0.00.

DAMAGED OR SHORTED MERCHANDISE

All claims for shortage or shipment errors must be made within 3 days upon receipt of the merchandise.
When a package arrives if it appears to be damaged or wet please follow these procedures:  If possible, please take photos of the package as received before opening and staged photos when opening the package.  These photos will be very useful in damaged shipment claims with the shipping company.  Notify our Customer Service Department of any discrepancies in the order. If possible email Customer Service the photos taken for reference.  If the merchandise is received in damaged condition or the carrier fails to deliver the entire shipment, make note of the damage or shortage on the Bill of Lading and ask the driver to sign it. Then call the terminal office of the carrier and institute a claim for the loss or damage. If a package delivered arrives damaged, report this to the delivery driver immediately. They will issue a report on the damage at which time a replacement shipment may be made. Open and examine all packages promptly.

SPECIAL ORDER ITEMS
Many companies discourage special product requests due to the time and effort required to find non-catalog items. We take another approach and welcome requests for non-stocked items. Please provide as much information as possible including make, model, serial number of aircraft and exact part number or product you need. We will research the item and respond back to you as soon as possible, generally within 72 hours. Once advised of current price and lead time you will be notified by email of our findings.  You may then place an order if acceptable. Special order items are non-stocked items and as such are non-returnable, non-cancellable orders. Our goal is to provide everything you need.

BACKORDERS
We make every effort to ship orders complete but it is sometimes necessary to backorder an item if we are out of stock. Backordered items are not charged on the invoice enclosed with the shipped items. They are noted as backordered and will be shipped as soon as stock is received.  Additional Shipping charges may apply.  Prepaid shipping on backorders does not apply to hazardous materials, oversized items or COD shipments.
